Today we all tend to lead far more hectic lifestyles compared to those of our parents or grandparents. As a result it is important that we learn to manage the time we have properly. This will allow us to spend time doing those things that we love rather than just working all the time. Tip 1 - First off you must work out exactly what needs to be done and how much time you would like to have available to do the things you enjoy. Make a list of the tasks to be done and the amount of time needed to do them.
Tip 2 - Get yourself a calendar or a daily planner. If you work on a computer throughout the day then use the one that comes with the computer such as Microsoft Outlook or use Google Calendar. Use these tools to help you manage your time available more effectively.
Tip 3 - At the start of each week sit down with your diary, calendar, or day planner and write out the schedule for that week. It is important that you put down all the necessary tasks for that week on a day to day basis. This will then help you to keep track of everything that you need to do. The great thing about using a calendar on your PC is that you can set it up with an alarm so you are made aware of the task or event when it is due to occur. Also it is important that you stick to the schedule you have created for that week and change things only if it is absolutely necessary not because you just don't want to do something.
As you are creating your schedule each week make sure that you look closely at what you need to do and prioritize everything. This will ensure that you work on high priority items first when time is limited. It will give you a sense of accomplishment when you complete the task and you won't feel guilty should other things be put aside or get messed up.
Tip 4 - Learn to distinguish "important" tasks from "urgent" tasks. Urgent tasks may require your immediate attention but make sure you still set aside some time to do the important tasks. For example, returning a phone call from an angry customer may be an urgent task while learning to provide better customer service would be an important one. If you constantly find yourself spending much of your day handling urgent tasks, or "putting out fire," you may want to look at the root causes of the urgency and devise strategies to improve the situation. If you spend enough time on the "important" tasks, you will eventually find that there will be less "urgent" tasks to deal with.
